A very common requirement in today's business world is to be able to share and manage the evolution of documents within multiple distributed teams, and to perhaps publish them so that designated customers, suppliers etc, can download them.

The members of each team may be in many different time zones, they may be from different organisations, and each individual will certainly need different usage permissions, e.g. read, edit, create etc., depending upon their role within their team.

Provision of a centralised on-line system using the Managed Web Support service - available anywhere, anytime - allows a very flexible and sophisticated Document Management system to be rapidly deployed and efficiently managed.

Some specific features of a Managed Web Support Document Management service include:

  • The ability to create a complex set of 'folders' (known in the system as File Galleries) in a defined hierarchy, where each Gallery can have a set of access permissions allowing individuals to create or see a Gallery, download from it, upload to it, etc.
  • The listing of the contents of individual Galleries can be customised to show a variety of parameters e.g. name, description, file size, file type, last downloaded, last modified, etc.
  • The option for one user (with appropriate permission) to 'lock' an individual document so that it cannot be changed by another user whilst the 'locking' user is updating it.
  • For each Gallery, or the aggregated set of Galleries, to have a defined size or quota to limit the storage used by uploaded files.
  • The names of files that are uploaded can also be made to conform to various naming conventions by the use of various filters.
  • Each document can also have an archive of previous versions 'kept' where the number of previous versions can be set to a specific value or be 'unlimited'.
  • In addition, if any Galleries are used to store images the size of individual uploaded images can be limited by automatically resizing them to a maximum height or width.

This set of features and others allow an individual deployment to be customised to the specific needs of the system's users. In addition, because Document Management is just one of the base set of 'applications' available, a more extensive integrated deployment can evolve over time using other Packaged Solutions to support Contact Management as well as the specific business process needs of different functional areas e.g. Marketing & Strategy, Sales & Support, Products & Services, etc.
